Must have prior law firm experience! This position supports one attorney and one law clerk.

We are the tax law experts. We need a legal administrative assistant/secretary to join our team and work with our highly experienced tax attorneys.

Core Responsibilities:

  • Exhibit good judgment and organizational skills to receive, record and disseminate all information on behalf of the clients and staff (e.g., mail, interoffice mail, email, etc.)
  • Consistently provide friendly and helpful telephone support.
  • Routinely review and follow up on client deadlines and calendar appointments.
  • Coordinate and make necessary arrangements for meetings (i.e., depositions, mediations, interviews, and vendor and facility reservations).
  • Regularly and consistently update client files, notebooks, and pleading indices corresponding with clients to collect financial information and documentation, to assist the attorneys in determining the best resolution for the client’s IRS or State matter
  • Assist attorneys with client audits by collecting and organizing information and documentation requested by the IRS or State auditor
  • Exhibit knowledge of litigation process
  • Ability to draft standard correspondence, memoranda and other documents
  • Timely review and ensure accuracy of billings and expense submissions and pass-through as warranted
  • Has knowledge of client-specific fee agreements and consistently applies related guidelines
  • Participate in the timely review and submission of prebills and/or client bills
  • Assist assigned staff with completing and tracking CLE compliance and organizing all other non-billable activities
  • Follow the standard naming and profiling conventions when scanning, emailing, and saving documents to the document management system.
  • Conduct simple legal research and writing tasks
  • Prepare IRS forms and court documents

Technical and Educational Requirements:

  • 3+ years of administrative support experience, preferably working in a law practice.
  • Some knowledge of legal terminology and principles
  • Experience in preparing attorneys for trials, arbitrations, and mediations
  • Must be detail-oriented, possess superior analytical skills with the ability to mine and collect information supporting staff legal work

Job Type: Full-time

Salary: $48,000 – $56,000 per year

  • Consistently recruiting best-in-class employees

Qualification & Experience

  • Bachelor’s Business Administration Degree, Human Resources Management, or equivalent
  • Two – Five (2-5) years of Human Resources experience
  • Excellent communication and organizational skills
  • Proven track record of working at operational and strategic level
  • Experience working in a similar HR management position
  • Ability to build relationships, influence and motivate
  • Strong work ethic, with high levels of discretion
  • Effective team player, flexible but with the ability to work independently
  • Excellent organizational skills and ability to prioritize effectively
  • Pro-active, display initiative and work well under pressure
  • Advanced Microsoft office capabilities

Job Types: Full-time, Part-time

Salary: $60,000.00 – $75,000.00 per year

Education:

  • Bachelor’s (Preferred)

Experience:

  • Human Resources: 2 years (Required)
  • Microsoft Office: 2 years (Preferred)

License/Certification:

  • Professional In Human Resources (Preferred)

Work Location:

  • Primary location with occasional travel to other sites
